Article 1: Membership Fees
- Membership fees shall be established by the Executive Committee and approved by the General Assembly.
- The current membership fees shall be specified on the official website of the Association.
- Membership shall remain in good standing only upon full payment.
Article 2: Admission of Members
- Applications for membership shall be submitted via the official EASA website or directly to the Office of the EASA.
- The Executive Committee shall review all applications and approve membership.
- Membership shall commence upon confirmation by the Executive Committee and payment of the applicable fees.
Article 3: Rights and Duties of Members
- Members in good standing shall have the right to:
- Attend EASA congresses and meetings;
- Participate in Research Networks and Research Initiatives;
- Vote in the General Assembly;
- Stand for election to the Executive Committee or other governing bodies, subject to eligibility criteria.
- Members shall:
- Uphold the Statutes and By-laws of the EASA;
- Act in accordance with the decisions of the General Assembly and the Executive Committee;
- Participate actively in the Association’s activities, including research, publications, and conferences.
Article 4: Meetings
- The General Assembly shall meet once during the EASA Congress.
- The Executive Committee shall meet at least once during the Congress, and may hold additional meetings as required.
- Notices for meetings, including agendas, shall be provided to members at least four weeks in advance.
- Meetings may be held in person or via approved electronic means.
Article 5: Research Networks and Research Initiatives
- Research Networks (RNs) shall be established with a minimum of 10 members from different countries.
- Research Initiatives (RIs) shall require at least 5 members in good standing, with a designated Coordinator and Vice-Coordinator.
- Each RN and RI shall:
- Elect a President, Vice-President, and Board according to internal procedures;
- Submit an activity report to the Executive Committee;
- Organize sessions at the EASA Congress;
- Conduct mid-term meetings if necessary.
- All RN and RI members must be individual members of the EASA in good standing.
Article 6: Financial Management
- The Treasurer shall:
- Prepare a three-year budget aligned with planned activities;
- Maintain accurate financial records;
- Present annual financial reports to the Executive Committee and General Assembly;
- Propose membership fees and donation policies.
- Expenditures exceeding USD 1,000 shall require approval by the Executive Committee.
- All donations, grants, and contracts shall be recorded and used in accordance with the goals of the EASA.
Article 7: Office of the EASA
- The Office shall consist of the General Secretary and the Treasurer, with additional personnel appointed as necessary (e.g., Website Manager).
- The General Secretary shall be appointed by the Presidents and shall:
- Implement the decisions of the Presidents and Executive Committee;
- Appoint and supervise the Website Manager.
- The Treasurer shall manage the financial affairs of the EASA as specified in Article 7.
- The physical location of the Office shall be specified on the official website of the Association.
Article 8: Presidents and Vice-Presidents
- The EASA shall have three Presidents, each from a different country, and one or more Vice-Presidents.
- The Presidents shall:
- Represent the EASA externally;
- Oversee the Office;
- Ensure implementation of Executive Committee decisions.
- The Vice-Presidents shall assist the Presidents and act on their behalf when required.
- Terms of office: three years, one term only.
Article 9: Amendments to the By-laws
- Proposals for amendments may be submitted by:
- At least 20% of the Executive Committee members, or
- At least 20% of the individual members of the EASA.
- Amendments shall be discussed and approved by the Executive Committee and subsequently adopted by a majority vote in the General Assembly.
Article 10: Interpretation
- The Executive Committee shall interpret the By-laws in cases of doubt.
- In the event of any conflict between the Statutes and the By-laws, the Statutes shall prevail.
Article 11: Effective Date
These By-laws shall enter into force immediately upon approval by the General Assembly and shall remain in effect until duly amended.
